Acceptance of Terms

By registering and/or participating in any capacity in any program, conclave, conference, summit, exhibition, meeting, or business engagement organized by IOBIX (collectively referred to as the "Event"), including as an attendee, exhibitor, speaker, sponsor, partner, or service provider (collectively referred to as "Participants"), you agree to abide by all the terms and conditions stated herein. These terms constitute a legally binding agreement between the Participant and IOBIX (the "Organizer").

Eligibility and Registration

  • Participants must be at least 18 years of age.
  • Valid government-issued photo identification must be presented at registration.
  • Event badges are personal, non-transferable, and must be worn at all times.
  • Sharing, altering, or duplicating badges is strictly prohibited and may lead to immediate expulsion.

Participation Fee and Refund Policy

  • Attendees: Participation fees are non-refundable for any known or unknown reasons, even if attendance is canceled by the Participant for any reason.
  • Exhibitors and Sponsors: All bookings are final. No cancellations or refunds will be entertained once payment has been made.
  • If an Event is canceled due to force majeure (e.g., natural disasters, pandemics, war, government restrictions):
    • 60% of the participation fee will be refunded within 90 days, OR
    • The fee may be adjusted against future events organized by IOBIX at any global location.
  • The decision between refund and adjustment rests solely with IOBIX.

Responsibilities and Limitations of Liability

  • IOBIX is solely responsible for facilitating the Event. It shall not be liable for:
    • Loss, theft, damage, or injury during the Event or while traveling.
    • Services provided by third-party vendors, including but not limited to accommodation, catering, security, transportation, and technical support.
  • Each service provider, partner, and vendor is responsible for the quality and execution of their own services.
  • IOBIX shall not be held liable for any business loss, contractual disagreement, or damages arising from exhibitor or sponsor dealings.

Insurance

  • The Event fee does not include any form of insurance.
  • Participants must arrange their own travel, health, liability, and equipment insurance.
  • Exhibitors and sponsors are solely responsible for insuring their displays, equipment, and personnel.

Code of Conduct and Ethics

  • All Participants must conduct themselves in a professional and ethical manner.
  • Harassment, discrimination, or disruptive behavior of any kind will not be tolerated.
  • Exhibitors and sponsors must confine their activities to their designated booths or areas.
  • Unauthorized marketing, leafleting, or sales outside assigned zones is prohibited.
  • Outboarding (hosting events that conflict with or divert from the main event) and suitcasing (soliciting business without being a sponsor/exhibitor) are strictly forbidden.

Exhibitor and Sponsor Guidelines

  • Booth setup and dismantling must adhere to the timelines and specifications shared by IOBIX, if there is any.
  • All materials must comply with local laws, health, and safety standards.
  • IOBIX reserves the right to approve or reject content and displays that are deemed inappropriate, offensive, or in violation of intellectual property rights.
  • All exhibitor and sponsor branding must be pre-approved by IOBIX.
  • Participants must obtain necessary permissions and licenses for music, videos, or other copyrighted materials used during the Event.

Health, Safety, and Security

  • All Participants must comply with venue-specific safety protocols and emergency procedures.
  • Security checks may be conducted at entry and other designated points.
  • Prohibited items include, but are not limited to, weapons, explosives, illegal substances, and offensive materials.
  • IOBIX reserves the right to deny entry or eject any Participant who fails to comply with safety or conduct policies.

Intellectual Property and Media Consent

  • All Event-related content, visuals, and materials are the intellectual property of IOBIX or its content partners.
  • Recording, photographing, or live-streaming sessions without written consent is prohibited.
  • By attending, Participants consent to being photographed, filmed, and recorded for promotional and archival purposes.
  • Exhibitors and sponsors grant IOBIX non-exclusive rights to use their logos and promotional content for Event-related publicity.

Intellectual Property and Media Consent

  • Participants consent to the collection and processing of their personal data for Event management and communication.
  • IOBIX may use this data internally for future events, programs, and engagement purposes.
  • The hosting provider is responsible for the security and privacy of the data as per industry standards.
  • In the event of any data breach, leakage, theft, or tampering, the hosting provider shall be solely responsible, and IOBIX shall not be held liable.
  • Data may be shared with third-party vendors involved in Event operations, in compliance with GDPR and applicable laws.
  • Contact details of attendees may be shared with sponsors or exhibitors only with explicit consent.

Travel Documentation

  • All Participants are responsible for securing their own visas, travel documents, and permissions.
  • IOBIX shall not be held liable for denied entry into any host country or visa rejections.

Event Modifications

  • IOBIX reserves the right to modify the agenda, venue, speakers, or any aspect of any Event without prior notice.
  • Such changes do not warrant a refund or compensation.

Governing Law and Jurisdiction

  • These Terms shall be governed by the laws of India.
  • All disputes shall be subject to the exclusive jurisdiction of the competent courts in Ahmedabad, Gujarat, India.

Registration Acceptance Clause (Short Form)

  • For use in registration forms, invoices, and payment pages:
  • “By submitting this registration and/or making any payment, I confirm that I have read, understood, and agree to be bound by the IOBIX Terms and Conditions. I acknowledge that these Terms are governed by the laws of India and that the courts of Ahmedabad, Gujarat, India shall have exclusive jurisdiction.”
  • By registering for or participating in any program, event, conclave, exhibition, meeting, or engagement organized by IOBIX, all Participants, Exhibitors, Sponsors, Partners, Speakers, Service Providers, and other bodies confirm they have read, understood, and agreed to abide by these Terms and Conditions.
